Instructions for Presentation of Papers at ICC 2015 

Symposia Oral Presentations
Oral presentations for the ICC Symposia have been allocated 15 minute slots, of which 3 minutes should be given to questions.  It is necessary that these times are strictly adhered to, and that the turnaround time between papers is negligible.

All session rooms are equipped with a computer (laptop) and data projector.  Presenters should:

  1. arrive in the session room at least 10 minutes prior to the start of the session to load their presentations onto the computer using a USB memory stick
  2. introduce themselves to the Session Chair.

The computers in the session rooms will run MS Windows and be able to display MS Powerpoint or Adobe PDF slides.

It is important to point out that we expect the oral presentations to be “sharp”, including an outline of the key principles, facts and results. More detailed discussions can continue during the breaks.

A rehearsal facility will be provided in the London Suite (Room 5), so that presenters can check their slides on the computers being used.

Symposia Interactive Presentations
Interactive presentations for the ICC Symposia have been scheduled in 45-minute sessions (the session code will include the letter I preceding the two digits if it is an interactive session.)

Presentations are to be displayed on 46-inch smart screens in landscape orientation.  The final specifications of the screens and their associated multimedia players can be found in the following link:

Note that, based on these specs, it is recommended that you convert your interactive presentation, even if it is a relatively static poster, into DivX or MPEG for Video, or JPEG for Pictures format presentation.

The 46-inch smart screens accept the following file formats:

    · For videos: H.264/MKV/DIVX/MPEG/ISO, MPEG1/2/4(MPG, VOB, AVI), DivX (avi), XviD (avi), resolution up to 1920 x 1080p 30fps, and
    · For photos: JPEG, BMP and GIF up to 1080p.

Presenters should:
  1. bring their presentation on a USB memory stick to the session area where a volunteer will transfer it onto the device to be used at the following times: 08.45, 14.15, 16.15.  Please choose the time appropriate to your session     
  2. introduce themselves to the Session Chair.
At other times during the refreshment breaks, the screens will be available and we advise you to check your presentations.

Please make sure that when you make your interactive presentation the following are always visible on the screen:

    · the symposium
    · session code
    · paper title

so that attendees can easily identify the interactive presentations.

We recommend that you treat the presentation as a means to engage the potential audience at all times, attendees will move between the screens at times of their choosing. 

Workshop Oral and Interactive Presentations

Presenters at workshops should follow the same general guidance as given above for oral presentations and interactive presentations in the Symposia.  However, workshop presentations may follow different timings, and presenters should contact the particular workshop’s organisers for advice if further explanation is required. 

 
PLEASE NOTE: To be published in the IEEE ICC 2015 Conference Proceedings and to be eligible for publication in IEEE Xplore®, an author of an accepted paper is required to register for the conference at the full or limited (member or non-member) rate and the paper must be presented by an author of that paper at the conference unless the TPC Chairs grant permission for a substitute presenter, arranged in advance of the event, and who is qualified both to present and answer questions.  Non-refundable registration fees must be paid prior to uploading the final IEEE formatted, publication-ready version of the paper.  For authors with multiple accepted papers, one FULL or LIMITED registration is valid for up to 3 papers.  Accepted and presented papers will be published in the IEEE ICC 2015 Conference Proceedings and submitted to IEEE Xplore® as well as other Abstracting and Indexing (A&I) databases.

TRANSFER POLICY:  All requests for registration transfers must be provided via email to the TPC Chairs and copied to IEEE MCE Registration via the form at www.ieee-icc.org/transfer and received by Friday, 15 May 2015.   After May 15, there will be a US $100 transfer fee imposed and possible additional fees depending upon the new registrant's membership status for each request.
